## How to use this record

These are communication examples, not legal cancellation clauses. Apply the actual accepted direct or platform terms and applicable obligations. Separate captain operating judgment from refund treatment, and never invent a guaranteed bank posting date.

Keep confirmed facts, estimates and unknowns distinct. For a requirement record the responsible source, checked date, supporting evidence and next action. Retain private financial, identity and personnel documents securely; do not put them into public URLs or analytics.

Before acting, verify changing requirements with the responsible agency and obtain qualified advice for the actual operation. This document does not submit an application or establish that any requirement is satisfied.

## Pending decision example

“Hello [name], the captain is reviewing the actual route and conditions for [trip/date]. A final departure decision is pending. Our next update is [time/method]. Please contact [person] before making an additional travel commitment if you need to discuss timing. We will explain any service change and the available options under your accepted terms.”

## Captain cancellation example

“The captain has canceled [specific trip/date]. We cannot deliver the agreed service. Under [actual accepted policy/channel process], your options are [verified dates or refund choice]. Please tell [responsible person] your choice by [actual reasonable time]. We will send separate confirmation of the calendar and payment action.”

Do not offer an alternative boat, target or route until its operating authority, insurance, practical fit and price are checked.

## Refund status example

“We submitted [actual amount] through [legitimate provider] on [date], reference [appropriate non-sensitive reference]. Its status is [verified status]. [Explain only the provider's actual next step/timing information.] Contact [person/method] if the expected confirmation does not arrive.”

Do not write “refunded” when the internal request is merely queued, or guarantee a bank posting date.

## Ledger handoff

- Calendar status and affected future availability: __________
- Unearned deposit refund or agreed carryforward: __________
- Provider/customer fees and actual treatment: __________
- Forecast month and repair cash adjusted: __________
- Guest confirmation and unresolved action: __________

A deposit applied to a canceled trip must be reconciled; moving the reservation alone does not resolve the financial record.
